Charleston, West Virginia, The Director of Athletic Facilities and Operations is responsible for organizing, managing, administering, and supervising all aspects of the University of Charleston Morrison Fitness Center, the institution's playing venues, and hosting operations for NCAA post-season competition. Responsibilities include, but are not limited to, the following: recruiting, hiring, training, scheduling, troubleshooting, evaluating, and completing payroll for fitness center student and hourly wage staff; updating staff training materials, operating manuals; assisting with developing and enforcing policies and procedures; budget management; equipment inventory and maintenance, including health and safety checks; overseeing risk management practices; keeping and compiling ongoing patron usage statistics; providing instruction and outreach, and orientation sessions. The Director of Athletic Facilities and Operations will provide oversight of field, court, and course equipment setup and breakdown, communication with athletic coaching and support staff, the use of university equipment, and supervision of visiting institutions. Essential Responsibilities:
Morrison Fitness Center •Recruit, hire, train, manage, and evaluate Federal work-study students and hourly wage staff. •Select and orient Fitness Center (FC) Staff. •Work with the Office of Financial Aid to identify prospective workers, coordinate timesheet submissions utilizing Time Clock Plus, and track all personnel expenses. •Work with the Student Life Department, Human Resources, and the Director of International Students to ensure proper hiring protocols are completed and followed. •Provide oversight of Fitness Center staff training sessions, supervision of employees, and mentorship of students. •Develop and oversee systems, policies, and procedures directly related to Fitness Center operations. •Work cooperatively with the coaching staff, Director of UC Facilities, and other UC stakeholders. •Oversee the card swipe program and access issues for all athletic buildings. •Adjust the facility's operating hours with University Computing during institution breaks, holidays, and summer months. •Prepare reports regarding patron and equipment usage patterns. •Recommend purchases of equipment and supplies and a long-term equipment replacement plan to the Director of Athletics. •Interface professionally and positively with vendors regarding equipment purchases, delivery, scheduled preventative maintenance, needed repairs, and billing. •Maintain accurate purchase and service records.
Athletic Competition and Practice Facilities •Inspect the cleanliness of the Auxiliary Gymnasium, Nest Weight Room, Wehrle Weight Room, Graney Weight Room, HB Wehrle Arena, Welch Athletic Complex, Watt Powell Softball Annex, and UC Stadium daily. Place work orders for any areas that need the Facilities Staff's attention. •Review, coordinate, and implement a schedule of duties associated with the game-day operations of the events held at all University of Charleston playing and practice venues. •Coordinate practice schedules for the WAC and the Arena while providing oversight of the calendars for the Auxiliary Gym and all Weight Room facilities. •Serve as the RefQuest liaison to the Mountain East Conference and check schedules in which officials are involved. •Work with the IT department to coordinate responsibilities for the Innovation Center during all events hosted in the HB Wehrle Arena. •Ensure that all turf spaces at UC Stadium, WAC, and the Watt Powell Annex are properly groomed monthly. •Meet all officials prior to each home contest and show them to their changing spaces and locker rooms. •Meet all teams and buses and show them to their locker room spaces or playing venue. •Ensure that all equipment, tables, and chairs are stored appropriately before each home contest. •Schedule and coordinate game day responsibilities for graduate assistants for all home men’s and women’s basketball games. Review graduate assistant roles and responsibilities therein, including but not limited to; live stats, ushering, real time broadcasting camera operations while ensuring concession stand operations are facilitated for all basketball games. •Assist with post-game supervision of teams that are showering and changing after contests.
Game Day Events and Sports Information Requirements •Assist the Director of Athletic Communications on Game/Match Days with setting up and taking down all equipment (chairs, tables, scoring console, computers, music, signage, etc.). •Assist with the setup and takedown of all Broadcasting Equipment. •Assist with in-game statistics, scoring, and operation of video and scoreboards for all home contests. •Provide oversight of Hometown Ticketing and the training associated with the platform. •Update all facilities on the athletics website.
Transportation •Provide oversight of all facets of athletic fleet vehicles (buses and vans). •Assign drivers for each away trip or athletic event. •Oversee all maintenance requirements and records, as well as ensure that fleet vehicles are cleaned regularly. •Prioritize the assignment of vehicles based on length of trip and driver availability, in-season competitions, roster size, and timing of request. •Work cooperatively with various university departments to access fleet availability for non-athletic related travel for educational purposes. •Hire, supervise and approve compensation for all drivers.
General Responsibilities:
•Use discretion and professionalism in communicating details of the university’s operations outside of the office, ensuring confidentiality, integrity, and security of all personal and financial student information. •Follow all policies related to FERPA, Title IX, Title VII, and HIPAA regulations. •Adhere to the policies and procedures set forth in the University’s Employee Handbook and the athletic department’s Coach’s Manual. •Seek out organizations that might provide insight and a networking resource for continued professional development. •Develop and implement strategies that will maximize the synergies among the various athletic programs that UC sponsors. •Other duties as assigned by the Vice President and Director of Athletics.
