Job Description

Westerville, Ohio, Otterbein University is seeking a detail-oriented and proactive Athletics Facilities Coordinator to oversee athletic facilities, event operations, equipment support, and student staff supervision for the Athletics Department. This position is responsible for supporting 22 varsity sports, as well as club and intramural sports, by ensuring athletic facilities are safe, well-maintained, and prepared for daily use and competition. The Athletics Facilities Coordinator works closely with Athletics staff, University facilities, coaches, game managers, and student employees to support the successful operation of athletic venues and events across campus. This is a full-time, exempt position working 40 hours per week, 12 months per year. RESPONSIBILITIES   Athletic Facilities Management Regularly inspect all athletic venues, including Memorial Stadium, Clements Recreation Center, the Baseball/Softball/Tennis Complex, the Rike Center, and the Cross Country Course, to proactively identify facility needs. Develop and maintain an annual and lifecycle facilities maintenance calendar in collaboration with the Assistant Director of Athletics for Internal Operations. Pursue bids and estimates for facility maintenance projects and coordinate maintenance efforts with University Facilities as needed. Serve as the primary liaison with University Facilities to coordinate and monitor maintenance activities. Coordinate all facility work orders through the campus work order system. Brief Athletics leadership in advance of regularly scheduled meetings with the University Facilities Director. Communicate with head coaches and departmental personnel regarding facility needs and seasonal preparations, including venue setup requirements. Hold head coaches accountable for maintaining clean and organized practice and competition venues. Refine policies and procedures to promote a safe and welcoming environment for facility users. Event Management Work with Athletics staff and student workers to coordinate game-day setup and visiting team locker room use. Assist with venue setup and teardown for athletic contests, including bleachers, stanchions, signage, scorer’s tables, wiring, chairs, lighting, branding materials, clocks, and scoreboards. Communicate facility-related issues to home and visiting coaches and game-day personnel. Work closely with Game Managers to communicate facility considerations before home competitions. Participate in Game Management meetings and provide facility-related updates and support. Manage Pepsi ordering for concessions. Coordinate portable restroom rentals as needed. Perform other duties as assigned. Student Staff Supervision Hire, train, supervise, and evaluate student workers assigned to front desk and facilities operations. Ensure regular cleaning schedules are maintained for the fitness center and weight room. Support and enforce facility-use policies with student staff. QUALIFICATIONS   Education & Experience Bachelor’s degree in a related field preferred. Certifications & Licenses Helmet Certification required or the ability to obtain certification within the first year of employment. Skills & Competencies Professional oral and written communication skills. Competency in general math. Basic knowledge of laundry equipment and scoreboards. Strong organizational and problem-solving abilities. Ability to work independently and collaboratively with multiple campus stakeholders. Commitment to maintaining safe, organized, and efficient athletic facilities. PHYSICAL DEMANDS While performing the duties of this position, the employee is frequently required to communicate, sit, reach, and use repetitive motions of the hands and wrists. The employee is occasionally required to stand, walk, stoop, or bend. The employee must occasionally lift and/or carry up to 50 pounds and occasionally push and/or pull up to 50 pounds. Regular and predictable attendance is required. The position also requires the ability to work prolonged and irregular hours.
